Postponement due to COVID-19

If the Bare Creek Trail Run is unable to proceed on the 8 November due to ongoing restrictions surrounding the COVID-19 pandemic we will postpone the event to the first possible time that we are able to comply with Covid requirements.

If the event is postponed all existing entrants will have their entry automatically transferred to the new event date. Our normal refund policy (refunds available up to two weeks out from the new event date minus the nominated $30 admin fee) will apply.  Alternatively entrants can transfer 100% of the value of their entry to Run Forest Run 2021 or Bare Creek Trail Run 2021 – Please contact us.

Race Pack Collection

Collection of race packs is available on the morning of the Bare Creek Trail Run event from 6.00am.

 

Important Notes
  • A baggage area will be available and staffed by volunteers from the Lions Club of St Ives. All care but no responsibility will be taken, so please do not leave valuables in your bag.
  • No dogs are permitted in The National Park.
  • This event is a non-smoking environment.
  • St Johns Ambulance will be in attendance and located at the start/finish area as well as out on course at three locations.
  • Water stations will be positioned at the start/finish area as well as at approximate midway points of each run. This event is free from single use cups so bring your own bottle and help us to love and care for our planet.
  • Event Organisers reserve the right to alter the course without notice and/or cancel the event in consultation with, and under the direction of, emergency services agencies and major event stakeholders or landowners. In the unlikely circumstance that the event is cancelled for reasons outside of our control such as weather, fire, flood, Park closures or any other reasons, we will be unable to offer a refund of your entry fee.
  • An alternate route will be implemented should the river crossings prevent access for the planned courses.
  • Each course will have a ‘sweeper’ to ensure everyone completes the course safely.

Changes & Cancellations

Refunds   – Individual Entry cancellation

Individuals can cancel their entry up to Sunday 25 October (two weeks before the event date). Please contact us and a refund (less the $30 administration fee) will be made.  Refunds after this date are not possible.

Please note: No refunds are possible on the 2km Dash as it costs less than $30.

However, we do offer the facility to transfer entries to someone else (on event day) if you are unable to participate. Please see below for details.

Entry transfers
ONLINE

Competitors may transfer their entry to another person via the online portal until 5pm on Sunday  25 October, 2020. Online transfers will not be available after this date.

The original entrant will receive a full refund less the transaction fee (3.00%) and the new entrant will be required to pay the entry and transaction fees.

EVENT DAY

All entry transfers after 5pm on Sunday 25 October, 2020 should be made at registration on event day.

Replacement competitors are required to bring the registration details and written evidence from the original competitor stating that they agree to the transfer taking place.

Event day transfers will incur a $20 admin fee.

Replacement competitors should allow extra time to complete registration on event day.

Exchange of funds for race entry fees will be a private transaction between the two runners.

Entry category changes
ONLINE

Competitors can change their entry to a different category via the online portal up until 5pm on Sunday 25 October, 2020.

All entry category changes after 5pm on Sunday 25 October 2020 will need to be made at registration on event day.

Competitors changing their entry to a more expensive category will be required to pay the difference in entry and a 3.0% admin fee.

Competitors changing their entry to a less expensive category will not be required to pay any fees.

No refunds will be made for category changes where the entry fee is lower than what has already been paid.

EVENT DAY

Extreme Weather Cancellation / postponement

In the unlikely circumstance that the event is unable to go ahead on 8 November for reasons outside our control, such as extreme weather, fire, flood, National Park closures or any other reasons we will notify you directly via email as well as on our website and updates will also be posted on our Facebook page.

Every effort will be made to reschedule the event to a later date, in which case all entries will be transferred to that date, at no additional cost.  If the event is rescheduled and you are unable to make the new date, no refunds will be issued.

Processing fees

All online entries will attract a booking fee of 3% + a transaction fee of 0.3% to 2.31% depending on the credit card you use.

Participation Rules

We love keeping this event safe and fun for everyone, so we have some basic guidelines in place to ensure this happens. We look forward to seeing you on the track and having FUN!

Age Guidelines:

2km Dash – open to 3yrs and over (all children need to be accompanied by an adult)

6km Family walk / run – open to 5yrs and over

12km run – open to 7yrs and over (all children under 12 years old need to be accompanied by an adult)

20km run – open to 12yrs and over (all children under 12 years old need to be accompanied by an adult)

All children under 12yrs of age must be accompanied by an adult.

(Children who run ahead of their ‘responsible adult’ may be paused by the Track Marshals to ensure proper supervision by an adult).

  • We require that every participant agree to, and sign, the Terms and Conditions associated with entry. If a participant is under 18 years of age a parent or guardian needs to agree to, and sign the Terms and Conditions on behalf of the participant.
  • Age categories will be based on an individual’s age as at race date.
  • Participants must follow the course as marked.
  • Each competitor is to compete on the approved course as directed. The organiser sets the courses.
  • All participants must follow the directions of Event Marshals and SES officers. Participants must stand aside immediately and make way for all emergency vehicles, including Police, SES, Fire Service and Ambulance.
  • The organisers reserve the right to reject or cancel any entry at any time.
  • The only vehicles permitted to follow the event are Police and/or SES vehicles;
  • In the event of a tie, the tied competitors will be placed in ascending order of their race numbers.
  • The organisers reserve the right to alter without notice any of the Race Rules which govern the event.
  • No dogs are permitted on the track. This event is run predominantly in Garigal National Park and dogs are not permitted to be in the park.
  • No prams are permitted on the course. Due to the steep and uneven surfaces, creek crossings etc prams are not able to be used.

Volunteer

The Bare Creek Trail Run is a wonderful event that enables many local community and sporting groups to participate and raise money. Volunteering is a way to connect, make some friends and have some fun. We need volunteers to help with set-up, pre-course marking, marshalling, registration, canteen, sausage sizzle, and clean-up just to name a few.

Can I change my entry to a different course?

Yes, competitors can change via the online portal up until midnight on Sunday 21st October, 2018. Instructions on how to make changes online to a different course are available HERE.

Will Bare Creek Trail Run sell out?

There is a limit of participants in all events. This will sell out quickly and an event may sell out before entries close.

Will I receive a medal for finishing the event?

We will be supplying each participant a sustainable finishers medal MADE IN AUSTRALIA. This will be instead of importing nylon lanyards and nickel medals from overseas. We appreciate you supporting us with our eco initiative.

Can I collect a Race Pack for a friend?

Yes. You must bring a copy of your friend’s confirmation. 

Where can I pick up my race pack?

Race Pack collection will be available on the morning of the event from 6.00am and up until 15 minutes before your event starts.

What distance should I enter?

All distances start and finish at Acron Oval, St Ives and enter the Garigal National Park at the Cascades Track.

The 6km, 12km and 20km wind through the undulating Lower Cambourne Trail before taking their respective routes. 

If you have never run on a trail before we advise that you try a shorter distance. Choose a distance that is within your limits and speak to your doctor beforehand if you have any health concerns. You will enjoy the event more if you choose a distance that is within your limits.

Are there drink/food stations along the track?

Yes. There is a drink / food station at approximately the midway point on each course. There will be a drink station at the finish line. You need to bring you own water container, reduce plastic and paper rubbish and help save our planet. More detailed information of food will be outlined in the event programme closer to the date.

Medical Emergency

In the event of a medical emergency please notify the nearest Marshall or SES Officer;

Marshals will be equipped with communication equipment and will request further assistance or an ambulance if necessary;

A First Aid Tent manned by St Johns Ambulance personnel will be located in a visible location within the post race Marketplace.

000 is the best option if you are unable to locate anyone to hep very quickly and the if the emergency requires urgent attention.

Can I order merchandise even if I am not entering the event as a runner?

Yes, you can order any of the merchandise items directly from our entry portal.

Contact us if you require it before event day and we can arrange postage within Australia. All other merchandise will be available on the day for collection.

What age do I have to be to enter?

Babies/under 5's

Children 3 and over are welcome in the St Ives Village 2 km Dash.

Sorry, babies and children under 5 are not permitted in the 6 km, 12 km or 20km events.

Parent/Guardian Consent

All participants under 18 must have a parent or guardian consent to the Terms and Conditions in the online entry form.

Can I bring my dog?

Sorry no, the Bare Creek Trail Run follows the trails in the Garigal National Park and the National Parks & Wildlife Service does not allow dogs.

Will the event be held in wet weather?

Yes, it is planned the event will go ahead in the event of wet weather. An alternate route has been planned and approved should we be unable to complete the full route through the Garigal National Park.

However, in extreme circumstances the event may need to be rescheduled or cancelled.

What equipment should I carry with me?

You shouldn’t need any specialist equipment for the Bare Creek Trail Run, we recommend some decent trail running shoes (that have knobby soles) and dress appropriately for the weather. You must take a drinking container with you as no cups will be at the water / aid stations.

What food and drink should I carry with me?

You should plan to replicate the routine you have been following in your training and be self-sufficient. Our aid stations have water to get you through the race.  You need to bring your own drinking container (bottle / hydration pack / cup) as no disposable cups will be provided.

If on your long runs you have a favourite energy/protein or muesli bar then carry one with you in this event. Gels can be a great “pick me up” for quick for energy. 

What should I do if I see somebody injure themselves?

This is a friendly event, so please help out anyone in trouble. Our course marshals are not far apart so please get a runner to run to the closest marshal so they can call first aid. We have first aid out on the course, and they can be on the scene fairly quickly. Waiting with the injured person until help arrives would be much appreciated and could be vital to their well-being.

What do I do if I get injured and can't carry on?

We have track marshals sweeping the course. If you can’t carry on, stay on the course and either walk to the closest marshal or wait to be collected. DO NOT under any circumstance try to take a shortcut back to the start/finish.

What do I do with my food or gel wrappers?

Carry them with you! Littering is against the law.  It is not acceptable to drop litter in an event and in our great Aussie bush. Please put the gel or food wrapper back in your pocket. 

What if I'm not sure that I'm on the course and I can't see course markings?

STOP! Back track until you reach the last course marking and check its direction. Markings will be comprehensive with arrows, bunting and lime markings on the ground. If you back track but can’t find any previous markings, stop at an intersection and wait. When somebody is recognised as lost we will search all the roads in the area to find them.
